Weekend Venue Hire
Terms & Conditions
1. Booking Deposit

A non-refundable and non-transferable booking deposit of $130 is required to secure your booking.

The booking deposit will be deducted from the total venue hire fee of $330.
2. Hire Fees and Bond
-
The remaining hire fee of $200 and a refundable bond of $200 must be paid prior to collecting venue access details.
-
The total amount payable before the function is $530, comprising a $330 hire fee and a $200 refundable bond.

The refundable bond is generally paid in person during an induction tour via the Greenhills EFTPOS terminal and will be refunded to the same credit/debit card through the EFTPOS system.

If the bond is paid by EFT, the Hirer must email admin@ghnh.org.au with their bank account details to request the bond refund.

Please allow up to 14 working days for bond refunds to be processed.
3. Hire Period
-
Venue hire is available on a daily basis only.
-
Hire hours are 10:00 am to 5:00 pm.
-
Hourly hire is not available.
-
Early access, extended hire periods and day-before bump-in access are not available.
4. Key Collection and Induction Tour
-
An in-person induction tour is mandatory during the week of hire. The induction will cover venue access, facilities, emergency procedures and hire requirements.

Access codes for the key lock boxes will be provided during the induction tour.

The Hirer must present a current driver’s licence or other acceptable photo identification before access codes are issued.
-
Keys must be returned to the designated lock boxes immediately after the event.
-
Access codes will not be provided over the phone.
5. Bond Refund
-
The full bond will only be refunded if :
-
the venue and grounds are left clean, secure and undamaged;
-
all rubbish has been removed;
-
furniture and equipment are returned to their original locations;
-
keys are returned;
-
no damage has occurred.
6. Condition Photos
Hirers are encouraged to take photographs of the Hall/Stage Room, Kitchen, Deck Area and Garden Area before and after their function for their own records. These photographs may be useful in the event of any questions about the condition of the venue or the return of the bond.
7. Alcohol, Drugs and Smoking

The consumption of alcohol and illegal drugs is strictly prohibited on the premises.

Smoking and vaping are not permitted anywhere on the property.
8. Respectful Behaviour and Noise
The Hirer is responsible for ensuring that all guests behave respectfully towards neighbours, community members, staff, volunteers and venue property. Excessive noise, anti-social behaviour, offensive conduct, or activities that cause nuisance or disturbance may result in the event being terminated and the bond being forfeited.
9. Food and Allergy Considerations

Food must not be consumed in the playground area due to allergy and safety considerations associated with the childcare service operating onsite.
-
Food may only be served in the hall and deck areas.
10. Environmental Responsibility
-
Hirers are encouraged to avoid balloons and non-biodegradable glitter.
-
If balloons are used, they must be disposed of responsibly.
11. Keys and Security
-
The Hirer must notify Greenhills immediately if a key is lost, stolen or damaged.
-
The cost of replacing lost, stolen or damaged keys is the responsibility of the Hirer.
-
Keys must not be copied or marked with the name or address of the Centre.
12. Damage to Property
-
The Hirer is responsible for any loss of, or damage to, the venue, grounds, fixtures, fittings or equipment occurring during the hire period.
-
Where costs exceed the bond amount, the Hirer agrees to pay any additional repair or replacement costs incurred.
13. Cleaning Requirements
-
The venue must be left in the same clean and safe condition in which it was provided.
-
All rubbish must be removed from the site and taken home.
-
Dishes must be washed, dried and put away. Tables and chairs must be returned to their original locations.
-
Floors must be vacuumed and wet mopped.
-
All lights, heaters and electrical appliances must be turned off and the premises locked upon departure.
14. Venue Departure
-
The Hirer must complete cleaning and vacate the premises by 5:00 pm on the day of hire.
15. Cancellations and Changes
-
Any cancellation or request to alter a booking must be submitted in writing at least fourteen (14) days before the booked date.

The $130 booking deposit is non-refundable and non-transferable in the event of cancellation.
16. Venue Management and Right to Cancel or Amend Bookings

Greenhills Neighbourhood House reserves the right to cancel, postpone or amend a venue hire booking where required due to emergency circumstances, safety concerns, maintenance issues, compliance requirements, government directions, operational needs, or other unforeseen circumstances beyond its reasonable control.

Where practical, Greenhills Neighbourhood House will provide reasonable notice of any cancellation or change to a booking.

In the event that Greenhills Neighbourhood House cancels a booking, all hire fees and bond monies paid by the Hirer will be refunded in full.

Greenhills Neighbourhood House will not be liable for any indirect costs, losses or expenses incurred by the Hirer arising from the cancellation or amendment of a booking.
17. Acceptance of Terms

By signing the Booking Application Form, the Hirer acknowledges that they have read, understood and agree to comply with these Terms and Conditions.
Child Safe Standards
Greenhills Neighbourhood House is committed to creating and maintaining a child-safe environment. All Hirers, guests and visitors are expected to comply with Victoria’s Child Safe Standards: https://ccyp.vic.gov.au/child-safe-standards/
Insurance
Greenhills Neighbourhood House maintains insurance that covers incidents arising directly from the property, facilities or equipment where Greenhills is legally responsible. This insurance does not cover injuries, accidents, loss or damage caused by the actions of the Hirer, guests or attendees. Hirers are encouraged to obtain their own insurance cover.
Indemnity
The Hirer agrees to indemnify and hold harmless Greenhills Neighbourhood House, its Committee of Management, employees, volunteers and agents against claims, actions, costs, losses, damages, liabilities or expenses arising from the Hirer’s use of the venue or any negligent act, omission or breach of these Terms and Conditions.
Bushfire and Emergency Closure
Greenhills Neighbourhood House is located in a designated bushfire risk area. If a Code Red Fire Danger Rating or other emergency closure directive is declared, the venue will be closed regardless of existing bookings. All hire fees and deposits paid for the affected booking will be fully refunded.
